Privacy Notice - JTMS Timesheet

This notice describes how personal data is processed when you use the JTMS Timesheet application (JTMS). It is published in line with the Digital Personal Data Protection Act, 2023 (India).

1. Data we process

  • Account & identity: name, username, email, phone, company name, role
  • Employment & HR: staff profile, leave, attendance (where enabled), department and job details
  • Timesheet & work data: hours, projects, clients, jobs, expenses, attachments you upload
  • Login audit (optional): approximate location (latitude/longitude converted to area) only if you choose Allow location at login
  • Technical: session identifiers, IP address, browser/device type (standard web server logs)

2. Purpose of processing

  • Provide timesheet, HR, leave, and reporting services to your organisation
  • Authenticate users and maintain account security
  • Record login activity for audit (including optional location if consented)
  • Send service-related emails (e.g. password reset, notifications configured by your company)

3. Lawful basis

Processing is based on your organisation's contractual need to operate HR and timesheet systems, your consent where required (e.g. optional location at login), and legitimate security interests.

4. Third-party services

JTMS may use the following categories of processors. Your organisation's contract with Saibex governs sub-processing:

  • Email delivery - for password reset and system notifications
  • OpenStreetMap / Nominatim - only when you allow location at login, to resolve approximate area for login audit
  • Hosting infrastructure - servers where the application and database are deployed

5. Retention

Data is retained while your account is active and as required by your employer's policies and applicable law. When employment ends, your organisation may deactivate or archive your record; erasure requests should be raised with your employer or the grievance officer below.

6. Your rights (data principal)

Under applicable law you may have the right to:

  • Know what personal data is processed and obtain a copy (access)
  • Request correction of inaccurate data
  • Withdraw consent where processing is consent-based (e.g. optional location — use Continue without location at login or clear site data to reset preference)
  • Raise a grievance with the published grievance officer

Many corrections can be made through your company admin or staff profile screens where your organisation has enabled them.

7. Security

We apply technical measures including encrypted passwords, session-based authentication, HTTPS in production, and access controls. No system is completely risk-free; report suspected incidents to the grievance officer.
